The Executive Administrative Assistant & Project Manager provides administrative and project support for the Vice President and Group Executive Water Platform (Vice President). Under the direction of the President, works with minimal supervision to handle details of a highly confidential and critical nature. The Executive Assistant requires in-depth knowledge of company operations, policies, procedures and functions. This position does require domestic and international travel.

ESSENTIAL JOB RESPONSIBILITIES:
Executive Assistant

With a primary responsibility of supporting the Vice President thru understanding of business priorities provides support to the executive team to ensure operational meetings and interactions run efficiently

Maintain and refine internal processes that support the operating companies’ top executives

Manage communication between top executives and the Vice President, liaising with internal and external corporate executives on various projects and tasks

Completes a variety of administrative tasks for the
Vice President including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.

Tracks, monitors and prepares invoices and expenses and generates related reports.

Independently prepares expense reports and purchase orders with a solid understanding of the expense reporting, invoicing and purchase order procedures and budget process.

Provides a bridge for smooth communication between the Vice President's office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.

Communicates directly and on behalf of the Vice President

Participates as a member of the L1 Team including assisting in scheduling, drafting and attending L1 Ops/PD meetings. Represents the President in designated meetings as required.

Mentors, coaches, and develops other EA’s; creates inclusive culture amongst the EA community within the operating company

Project Manager :
Manages vendor relationships for various Vice President level events, programs, sponsored activities, encompassing SOW, project plan setup and finalization, coordination of core team members and ensuring processing of payments. Administers Women’s Coaching Program on behalf of Vice President inclusive of partnering with head of coaching program to develop list of mentees, develop and drive communication plan and managing the budget

In partnership with the communications team, reviews and creates communications plans and materials that come out of the office of the President ensuring consistency in vision, message, and voice

Full stop organizes and executes events and executive meetings, from recurring staff meetings, Leadership Conferences, Sales Kick Offs and President’s Club Sales Incentive trip. Provides project management, budget management, space requirements, IT coordination, and all other support required for these various events and meetings.

Works cross -functionally on specific projects as they arise (ex. Finance, Procurement, IT, QARA)

Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the President, some of which may have organizational impact

Attends Visual Daily Management Boards as determined by the President to provide at Gemba problem solving when cross-functional challenges arise. Provides feedback to the President on required involvement.

REQUIRED QUALIFICATIONS:
Education or Experience (in years):
High School Degree (or equivalent experience)

8+ years C-suite / President level administrative experience that demonstrates an ability to carry out all responsibilities proficiently and to complete quality work on a timely basis

SKILL REQUIREMENTS:
Demonstrated strong self-starter, independent, pro-active and self-motivated while having the flexibility to handle change calmly and professionally

Demonstrate resourcefulness with proven ability to anticipate needs, prioritize responsibilities, manage multiple priorities with tight timelines, and take initiative.

Ability to work well both in team environment as well as operate independently with minimal supervision.

Possess excellent communication skills with an ability to respond with professionalism in verbal and written communications with all levels of the organization.

Use appropriate discretion and confidentiality in the management of information.

Excellent computer skills: Outlook (e-mail and calendar management), Word, Excel, and PowerPoint and other Microsoft Office products.

Exemplary time management and organizational skills and strong ability to set priorities.

Strong interpersonal skills and the ability to build relationships with staff, clients, and external partners.

Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the high level of customer/client service and response.

Ability to anticipate needs of executives and demonstrate a proactive, holistic approach to solving problems.

Excellent attention to detail and level of accuracy necessary.

The salary range for this role is $90,000.00 to $110,000.00. This is the range that we in good faith believe is the range of possible compensation for this role at the time of this posting. We may ultimately pay more or less than the posted range and this range is only applicable for jobs to be performed in Colorado. This range may be modified in the future. This job is also eligible for bonus pay.
